Custom Wedding Event Coordinator Package

Not only does that take exceptional planning skills, but you need to be well organized as well or things will inevitably fall through the cracks. Our responsibilities include:

    Pre-Wedding Consulting — includes:

  • Create an initial custom monthly calendar checklist to fit your specific needs and update during each scheduled appointment either in person or by phone to keep you current on tasks
  • Recommend and assist with securing rooming needs for out of town guests and family to include hotel, bed & breakfast, beach condo, unique private homes in the downtown and beach areas based on client’s needs.
  • Provide essential information for locating vendors or specialized services, as well as insight into what type(s) of services might best suit your needs or fit within your budget
  • Assist with invitation wording and design
  • Assist bride with design and develop décor/theme
  • Create reception layout and design
  • Etiquette advisement
  • Put you in touch with licensed, reputable and experienced service providers who will value your business
  • Assist with vendor discounts where applicable
  • Review vendor contracts
  • Set up and attending meetings with vendors as your assistant
  • Assistance with budgeting, and contract negotiation
  • Verify all payment schedules are up to date and managed throughout the entire process
  • Guidance on menu creation and guest management
  • Help deal with unforeseen circumstances to effectively resolve a potential problem
  • Review of timing, distance of travel, and miscellaneous concerns
  • Create an extensive wedding day timeline for all wedding related activities for bride, groom and bridal party
  • Contact all vendors to clarify all contractual obligations
  • Assist with negotiations if contracts are in disagreement
  • Coordinate with ALL vendors as to arrival time and location for day of wedding
  • Coordinate clergy for rehearsal if applicable
  • Give bride extensive timeline for all wedding related activities for bride / groom / bridal party
  • Attend with bride and groom final walk through of ceremony and reception sites
  • Verify all final payments with vendors
  • Final collection of wedding items at rehearsal to be set up on wedding day, such as candles, photographs, guest book, wedding favors, toasting glasses, serving sets, programs, seating cards, table numbers, menu cards, etc..
  • Assist/Direct wedding rehearsal including processional and recessional
  • Confirm seating of honored guests
  • Educate ushers on “within the ribbons” and special guests seating for wedding day
  • Confirm with bridal party locations for getting dressed and photography start times for day of wedding
  • WEDDING DAY:

    Lead Coordinator will be the single point of contact on the wedding day ensuring a flawless event

  • Manage and Coordinate transportation for bridal party, family and guests
  • Oversee timely “flip” of room from ceremony o reception if needed
  • Arrive at the ceremony site a minimum of one hour prior to guests’ arrival
  • Onsite management and coordination of all wedding vendors
  • Assist with distributing and pinning of bridal flowers
  • Provide an extensive “emergency” wedding kit
  • Escort bridal party at start of ceremony to their respective places
  • Arrive at the reception site a minimum of one and a half hours prior to guests’ arrival
  • Conduct final seating and table check prior to guests welcomed to reception
  • Arrange and set up toasting glasses, cake cutters, place cards, guestbook, menu cards and favors. (Items are to be assembled and void of any wrappers or stickers.)
  • Light reception candles
  • Greet guests upon arrival to reception
  • Coordinate schedule of event to include -bridal party for introductions, special dances, toasts, cake cutting, bouquet toss, anniversary dance, special exit, i.e. vintage car, horse/carriage
  • Manage and remedy all moment to moment challenges
  • Prepare parting gifts for guests at end of evening
  • Coordinate bride and groom send off at end of evening
  • Arrange final destination of wedding gifts at end of the evening
  • Oversee strike of venue
